Follow this easy step by step guide for setting up the Outlook CRM Sync. Please note that you must be a Professional edition customer to synchronize your CRM with Outlook.
CRM Sync is offered for Professional Edition CRM only.

Note: All Outlook Data will Sync to the CRM except data in Personal Folders. All Default folders and information will sync to the CRM including records marked as private.
1. You must download the sync application and install it on your Windows computer. You must have administrator access to install this application. Follow the on-screen instructions and accept the license agreements and complete the installation. Once installed, you will have a new program group in your Programs tree containing the Outlook Sync product. If you are using a Personal Firewall or similar product, you may have to configure it to allow the Outlook Sync product to connect out on port 8443 (SSL) through your firewall.
2. The next step is running the Sync application and selecting the Communication Settings from the Edit menu as in the picture given on the right side of the screen. You must enter the correct SyncServer URL as it is shown and repeated here:

3. Enter your CRM Username and Password and then click the OK button

4. Go back to the Edit menu and select Synchronization Settings. You should see a box similar to the one shown on the right. Make sure that only the first three checkboxes are selected -- Contacts, Calendar and Tasks. From here, click the Remote Settings button and go on to Step 5 below.

5. Erase the values for Contact Name (scard), Calendar Name (scal) and Task Name (stask) and instead put in the values "Contacts" "Calendars" and "Tasks" in place of the original values. When completed, your box should be similar to the one shown on the right.
6. Click OK to close the Remote Settings box, and then click OK to close the Synchronization Settings Box.
7. Click the SYNCHRONIZE button -- please do not interrupt the synchronization while it is running. The first sync will take a very long time however all subsequent syncs will be very, very fast. The first sync can take approximately 30 minutes for 1,000 contacts, calendar items and tasks. This process takes a large amount of CPU time, so it is recommended that you do your initial (first) sync during a period of time when there is nothing else that you computer will be doing. If you have more than a thousand items, this process can take a few hours. 7,000 record items were synched in slightly more than 2 hours.
8. You will see a "Synchronization Complete" when the process is done. From this point on synchronization will be very, very fast. From this point on, all data changes to the CRM and in Outlook will be synchronized when you run this sync application and press the Synchronize button.
